Knowledge Base: Answers for Telecom Contractors

Answers for those who organize the work.

SHORT ANSWER

The knowledge base explains how a telecom contractor can organize requests, installation crews, materials, estimates, and customer work. Its articles are grouped by practical topics and cover system selection, implementation preparation, daily planning, execution control, and checking the expected result with examples from the company’s own work.

Customer work, crews, materials and estimates. Answers for telecom contractors — from choosing a system to launching it.

System selection

Where to start and what tasks the product should cover.

01Which CRM is suitable for a telecom contractor?

Start with the work to be managed: multiple customers, crew planning, network construction, materials, estimates and acceptance certificates. Check how a customer order links to the site, assignee and result. IS PORTAL covers these processes; required integrations are agreed separately.

02How does CRM differ from FSM?

CRM organizes customer interactions and workflows. FSM focuses on planning and completing field work. A contractor needs to link the customer order with the crew, materials and report. Product scopes may overlap, so test the specific scenario.

03What is Field Service Management and why does it matter to a telecom contractor?

Field Service Management, or FSM, manages field service: technician planning, work orders and work results. For a telecom contractor, this means coordinating crews at customer sites for installation and service work. In IS PORTAL, these tasks are covered by dispatching, work orders and a mobile interface.

Organizing work

A shared process for office and field crews.

01How can field crew work be organized?

Define job types, roles, deadlines and work-order closure rules. The dispatcher assigns tasks, the field technician records the result and materials, and the manager analyzes completion. All participants work with the same request.

02How can installation orders be managed in one system?

Organize projects by customer, create work requests, assign responsible people, plan field visits and keep a change history. In IS PORTAL, each request moves from creation to final status.

03How can Excel and messengers be replaced in dispatching?

First agree on mandatory request data and uniform statuses. Then configure the assignment of assignees and reporting in the system. The transition should start with one process and test it on real tasks before spreading to the whole team.

Dispatching

Request assignment, free slots and multiple cities.

01How can requests be distributed among field technicians?

Consider the job type, territory, available time and required resources. IS PORTAL lets you assign technicians, view free slots and visually plan work on the map.

02How can a field technician's free time slots be viewed?

IS PORTAL displays technicians' free slots so dispatchers can match existing work with new requests and schedule field visits without idle time.

03How can one dispatch desk cover several cities?

Agree common statuses and rules, divide tasks by territory and configure access. IS PORTAL supports centralized dispatching and filtering work orders by territory and other criteria.

Execution control

Deadlines, history of changes and repeated field visits.

01How can work-order deadlines be controlled?

Define deadline rules by job type and regularly check open requests. IS PORTAL provides request timers and uses the incident system to control overdue closures.

02How to track the history of request changes?

Work with the history of a specific request to see its progress from creation to completion. Check out the demo to see exactly what changes and participant details are available in your scenario.

03How to reduce the number of repeated field visits?

Record why work was not completed, check material availability and analyze repeat faults. IS PORTAL helps track repeat outages within a defined period.

Warehouse and equipment

Issuing equipment to technicians, write-offs and serial numbers.

01How to account for materials issued to field technicians?

Record the transfer from the warehouse to the employee's personal inventory, and associate further use with the work order. This way you can compare issued resources, costs and balances.

02How to write off materials for a specific work order?

When reporting on work, the field technician records the inventory used. In IS PORTAL, you can configure material sets and write-off limits for job types or requests.

03How to find equipment by serial number?

IS PORTAL keeps a movement history for serialized equipment and shows its current location: in the warehouse, with a field technician, at a subscriber site or on a network element.

Network construction

Objects, stages and work for different customers.

01How to plan network construction on the map?

Create line and point features, routes and segments, define territories and assign jobs. In IS PORTAL, these elements are used for visual planning and progress control.

02How to control the stages and terms of work?

Break the project into stages, determine the responsible people and deadlines. Receive site crew reports and view current statuses to spot delays early.

03How to manage several projects for different customers?

IS PORTAL supports an unlimited number of concurrent projects. Flexible access settings ensure each user sees only the tasks and data related to a specific customer. This makes projects easier to manage while keeping information separated.

Estimates and finances

From the agreed volume to the payment of the acceptance certificate.

01How can an acceptance certificate be created from an estimate?

Prepare an estimate and agree the scope with the customer. When creating the acceptance certificate, include the work actually completed within the agreed scope. IS PORTAL supports this link between the estimate and acceptance certificate.

02How to control the payment of completed works?

Maintain acceptance certificates and track their payments together with the remaining planned funds under the estimate. The payment-entry and data-exchange procedures are agreed during setup.

03How to limit access to financial documents?

Configure role rights according to job duties. IS PORTAL provides different levels of access to financial documents; test them on user examples before launching.

Implementation

Deadlines, data migration and team training.

01How long does it take to implement IS PORTAL?

A standard full company launch takes about two months. The exact timeframe depends on your processes, data preparation and required integrations.

02How to transfer data from Excel?

Prepare a list of tables, fields, references and the amount of data. At the demonstration, we will agree on the file format, data preparation, transfer procedure and responsibility of the parties.

03Is employee training included in the price?

Employee training is included in the subscription. The format, number of sessions and participant list are agreed during launch planning.

Integrations

What to agree for customer systems and data exchange.

01Is it possible to integrate IS PORTAL with customer systems?

Integration is developed as a separate task. The evaluation requires the name of the customer's system, documentation and a list of data to be exchanged: requests, objects, statuses or work results. Compatibility, access and scope of development must be agreed upon.

02Which integrations are already available?

There are no ready-made connectors: every integration is built as a separate development for a specific case. To scope it, name the system, the direction of exchange — from IS PORTAL, into IS PORTAL or both ways — and the data involved: requests, sites, statuses, work results. Scope, timeline and price are agreed separately from the subscription.

03Which integrations require separate development and payment?

All of them. Every integration is a separate development with its own scope, timeline and price; no connector is included in the base subscription. It can be quoted once the customer system, the direction of exchange and the data set are known.

Terms of use

Subscription, demo and termination.

01What is included in the IS PORTAL subscription?

Every subscription includes not only the CRM system but also a development team that continuously improves the product and takes your business needs into account. Product enhancements are included in the subscription.

02Is it possible to customize the system to the specifics of the business?

IS PORTAL supports multi-level customization that fully covers customer needs in 98% of cases. If a task goes beyond standard configuration, the subscription includes developing and implementing the required changes.

03How does the free demo work?

IS PORTAL offers free testing in demo mode before subscribing. Agree with the team on the duration, available data and the ability to test your own scenarios.

04How do I get my data after I finish using it?

The export format, access terms, and the procedure for data transfer and deletion are fixed in the contract before the start of work.

Mobility and security

Smartphone operation, data access and storage.

01Does IS PORTAL work on a smartphone?

Yes. In the mobile interface, employees receive tasks, report on completed work and write off inventory. At the demonstration, we will check the work on your team's devices.

02Is work available without internet?

No. The system requires a connection: tasks, reports and inventory write-offs are sent online. There is no offline mode with deferred synchronisation. If your crews work where there is no coverage, plan around it — for example, receive tasks and close work orders where a connection is available.

03Where is data stored and how do backups work?

The terms of data storage, backup and recovery are agreed upon before launch and fixed in the contract.
